Once your company is registered as a PEPPOL participant, you can send invoices to any other participant on the network across Europe and increasingly worldwide using a single, standardised channel. Docnova is a certified PEPPOL Access Point, meaning registration, sending, and receiving all happen within the same platform. This guide covers everything you need to get PEPPOL working from scratch.

What is PEPPOL

PEPPOL is a set of technical specifications and a governance framework that standardises how electronic business documents invoices, orders, despatch advice are exchanged between organisations. It operates through a four-corner model: your software (corner 1) sends to your Access Point (corner 2), which routes to the recipient’s Access Point (corner 3), which delivers to their software (corner 4).

Every PEPPOL participant is identified by a Participant ID. The ID consists of a scheme code and a business identifier. The scheme code identifies the type of identifier being used for example,
9945
is the scheme for Polish NIP numbers,
9930
is used for German VAT identifiers. The business identifier is the raw number without country prefix (e.g.,
8460002329
not
PL8460002329
).

PEPPOL is mandatory for public sector invoicing in many European countries and increasingly required in B2B contexts. Registering is a prerequisite for sending invoices to any counterparty who requires PEPPOL delivery.

Before You Start: Prerequisites

Before opening the PEPPOL Registration page in Docnova, confirm the following:

Company registration active: Your company must be set up in Docnova with a valid VAT ID or equivalent business identifier. This number will become part of your Participant ID.

Correct scheme code for your country: The scheme code must match your country’s identifier type. Polish companies use
9945
(NIP). German companies use
9930
. Using the wrong scheme will cause registration to fail or result in an unresolvable Participant ID.

Plan eligibility: Confirm your current Docnova subscription plan includes PEPPOL functionality. The Plans & Billing page shows your current plan and invoice quota.

Willingness to accept legal agreements: The registration process requires you to accept a Service Provider Contract and a Data Processing Agreement. These are presented during the registration flow and must both be accepted before the submit button becomes active. You should review these documents before starting.

Only one active registration at a time: The PEPPOL Registration page notes that only one registration can be active at a time. If your company already has an approved Participant ID, re-registering will raise an error.

Step-by-Step: Register on PEPPOL via Docnova

Navigate to the PEPPOL Registration page at
/peppol-registration
. The page shows a registration table with columns: ACTIVE, STATUS, ICD, IDENTIFIER, and PARTICIPANT ID. If no registration exists, the table will be empty.

Step 1 — Open the New Registration modal Click the “New Registration” button. A modal opens with two tabs: “New Registration” and “Migrate from Provider.” For a first-time setup, stay on the “New Registration” tab.

Step 2 — Read the welcome text The modal displays a welcome message: “Welcome to [portal name] / [company name]’s E-Invoicing Portal Before using.” Read this before proceeding.

Step 3 — Accept both contracts Two links are shown: “Service Provider Contract” and “Data Processing Agreement.” Review each document. Then enable the toggle switch (the terms toggle,
button[role="switch"]
) to confirm acceptance. Both contracts must be accepted before the submit button becomes active.

Step 4 — Select your Participant Identifier scheme Use the Participant Identifier combobox (
#participantIdentifier
) to select the scheme that matches your country. Example: select
9945
for a Polish NIP, or
9930
for a German VAT identifier.

Step 5 — Enter your Business Identifier In the Business Identifier field (
#businessIdentifier
), enter your raw identifier number only no country prefix. For a Polish company with NIP
8460002329
, enter
8460002329
.

Step 6 — Submit Click the submit button. The registration is sent to the PEPPOL network. The STATUS column in the registration table will initially show “Pending.” After network synchronisation, it changes to “Approved.” You will see your full Participant ID for example,
iso6523-actorid-upis::9945:pl8460002329-t
in the table.

Automatic MLR Settings (optional) Once registered, you can enable automatic Message-Level Response. This setting (
AUTO PEPPOL RESPONSE
toggle) is shown in a separate table on the PEPPOL Registration page. It is inactive by default. Enabling it means Docnova automatically acknowledges received PEPPOL invoices on your behalf.

Sending Your First Invoice via PEPPOL

After your registration is Approved, you can send invoices via PEPPOL from the Outgoing invoices list.

First, ensure the invoice you want to send is in a PEPPOL-eligible status. The “Send via Peppol” modal states that invoices must be “suitable for shipping with Peppol” invoices with the wrong status or missing a recipient Peppol ID will appear in a “Not Suitable Invoices” list and cannot be transmitted.

To send: 1. Go to the Outgoing page (
/outgoing
). 2. Check the checkbox on the row(s) for the invoice(s) you wish to send. 3. Click the “Send via Peppol” toolbar button. 4. A confirmation modal opens. If the selected invoice is eligible, it will be listed with a confirmation button. If ineligible, the modal shows “Please select at least one invoice from the table that is suitable for shipping with Peppol” and a “Select Another Invoice” button to return to the list. 5. Confirm the send.

For the recipient to receive your invoice via PEPPOL, their Participant ID must be entered in the Partner Company Information section of the invoice (the Peppol Participant ID field on the invoice creation form).

Troubleshooting

Registration stuck on Pending: Network synchronisation can take time. If status remains Pending after 24 hours, contact Docnova support. Do not attempt to re-register this will fail with an error.

Wrong scheme code used: If you selected the wrong scheme, the Participant ID will not resolve correctly on the PEPPOL network. Contact support to correct the registration; do not create a duplicate.

Submit button remains disabled: Both the Service Provider Contract and Data Processing Agreement toggles must be accepted. Confirm the toggle switch is enabled (not just clicked once).

Invoice not eligible for PEPPOL send: Check that the invoice was created with a Peppol-compatible type code and that the recipient’s Peppol Participant ID is filled. Invoices without a recipient Peppol ID cannot be routed on the network.

Participant ID case sensitivity: The registration table shows the identifier in lowercase (e.g.,
pl8460002329-t
), but some invoice forms require uppercase (
PL8460002329-T
). If you encounter a mismatch, use uppercase in the invoice form fields.

MLR not responding: The AUTO PEPPOL RESPONSE toggle is inactive by default. Enable it on the PEPPOL Registration page if you want automatic acknowledgements.

Conclusion

PEPPOL registration in Docnova is a one-time, four-step process: open the New Registration modal, accept both legal agreements, enter your scheme and identifier, and submit. Once your status is Approved, outgoing Peppol sends are available immediately from the Outgoing invoices list. For any company sending invoices to European public sector buyers or digitally-mature B2B counterparties, getting this set up correctly from the start removes one of the most common invoice delivery failures.

PEPPOL (Pan-European Public Procurement On-Line) is the interoperability network that allows businesses and public bodies to exchange structured electronic invoices without agreeing bilateral formats with every counterparty.
